Rugby Rokeby Lions Club CIO ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, why, and how we look after it.

Who we are

Rugby Rokeby Lions Club CIO is a registered charity (Charity No. 1202937), serving the Rugby community since 1968. We are the data controller for the information described in this policy.

What information we collect

We collect limited personal data, only where it's needed:

  • Newsletter/site subscribers — if you sign up to receive updates from us via our website, we collect your email address.
  • Event enquiries — if you email us about an event (e.g. Race Night, Prostate Cancer Awareness Morning), we'll have the information you choose to share in that email.
  • Ticket bookings — if you book tickets for an event via TicketSource, that booking is handled directly by TicketSource under their own privacy policy. We only see the information needed to run the event (e.g. name, number of tickets).

We do not collect payment card details, and we do not sell or share your data with third parties for marketing purposes.

How we use your information

We use your information only to:

  • Send you updates about Lions Club news, events, and activities (only if you've subscribed)
  • Respond to enquiries you send us
  • Organise and run events you've booked onto

Who we share it with

We use a small number of trusted service providers to run our website and communications:

  • PikaPods — hosts our website
  • Stackmail — delivers our emails
  • TicketSource — handles ticket bookings for events
  • Ghost — the software platform our website runs on

These providers only process data on our behalf and don't use it for their own purposes.

How long we keep your information

We keep subscriber email addresses for as long as you remain subscribed. You can unsubscribe at any time using the link in any email we send, or by contacting us directly.

Your rights

Under UK GDPR, you have the right to:

  • Ask what personal data we hold about you
  • Ask us to correct or delete it
  • Withdraw consent to receive our communications at any time

To exercise any of these rights, contact secretary.rugbyrokebylions@gmail.com.

Complaints

If you're unhappy with how we've handled your data, you can contact us directly, or raise a concern with the Information Commissioner's Office (ICO) at ico.org.uk.
